If you're planning to make a video recording for transcription, whether digital or analogue, the first thing you need to consider is the reason for recording video rather than audio. If you have other reasons for wanting video - for instance to record the body language in a training session or meeting, or because you're recording TV or film footage, then you may want to consider transferring to audio before sending to your transcriptionist. I'm not aware of any transcription machines that will play back video footage, and there is significant time involved in transferring video to audio tape in order to transcribe it. If you are recording video in a meeting or focus group, in order that the transcriptionist can better identify speakers, then you need to carefully consider how best to set up the cameras or the effort may go entirely to waste. You also need to consider your location and that of your transcriber - for instance as we are based in the UK we only accept videos in European format (PAL) rather than NTSC as used in America.

If you have recorded video in order to help the transcriptionist identify speakers, the transcription has to be carried out first from the audio tape, and then read through while watching the video tape to check that speakers have been correctly identified. As the video does not have transcription-style playback controls this is again time-consuming.

If you have a video made of a focus group, meeting or round table discussion for instance, please remember to provide us with a seating plan so that we can actually identify the different speakers from their positions in the room. This may not always be 100% effective, as it depends on the positioning of the camera, but it will help. A client once sent us a video and said ‘Oh you won't need a seating plan; everyone has a name card in front of them.' However, the video camera was situated in the corner of the room and looked over the shoulders of six of the twelve participants, meaning that their bodies entirely blocked the view of the place markers. It also meant that we couldn't tell with 100% certainty who was speaking as we could only see the backs of half the participants!

It is important to understand that it takes around four hours to transcribe one hour of clear, good-quality one-to-one interview from audio tape, and it can take much longer if the quality is poor in any way. The additional time taken to record the audio from the video and then check back will probably be in the region of 1 to 2 hours per hour of video recording. So an hour of analogue video recording may take from five to seven plus hours for an interview and substantially more for a group session.

Other factors that increase the time taken, such as strong accents, background noise or a need for verbatim transcription (please see the information on our website about the differences between verbatim, intelligent verbatim and edited transcription) will also increase the time taken to transcribe.

Digital recording is becoming more affordable all the time and it has many advantages over analogue recordings, so if you are making analogue recordings consider switching to digital. Digital video has many of the same issues as analogue video but you will at least have a better quality recording in almost all cases! It may also be practical to make a video (analogue or digital) for your purposes e.g. examining body language, but make a digital audio recording at the same time for your transcriptionist. Although you will then need to check through to ensure voices have been identified correctly, the cost of transcription will be considerably less than if the transcriptionist has to convert the recordings to audio and then check back using the video.

Recorded taped interviews and transcriptions are two sides of the same coin, many believe that a transcription is a back office task, but in actual it is an effective document of authenticity, in which every spoken word of the interview is documented in precise detail.

There are two forms of transcriptions of an Interview, one which is realistic where the pauses or repetitions are included and the other where it is not, meaning the irrelevant things are edited and corrections in grammar are effectively done.

Interviews may be between a celebrity and a moderator, a policeman and a criminal, an employer and an employee, a marketing team conducting surveys over the telephone; basically it is an interaction between two or more people.

And many people would be wondering, why would anyone require a transcript of an interview, since the audio of which is already available, consider this and review the importance of a transcript. There was a police officer who was in the process of filing criminal charges against a criminal, and based on the testimony of two key witnesses, the interrogation reached a stage where the criminal had no choice but to accept to the crime he had committed, and this confession of the accused was recorded, and to give authenticity to the confession, if a transcript or a text confession signed by the criminal was not made available to the court, the entire effort of the police officer in getting the conviction in the court will not materialize.

The other instance that also will need to be mentioned here, is of a student in the process of presenting research material on Oral History, the audio interviews based on his research was of 16 hours in length, and after editing the portions not relevant to the research a transcriber could format the transcript to seven pages only, and thanks to the transcriptions, it made reading them more interesting rather than listening to them for 16 hours.

The conclusion one can draw from these two instances is never make compromises on getting transcripts of the audio recordings, you never know how important they will matter at some stage.

A spoken word is not a sparrow. Once it flies out, you can't catch it.

Medical transcription, also known as MT, is an allied health profession, which deals in the process of transcription, or converting voice-recorded reports as dictated by physicians and/or other healthcare professionals, into text format. Evolution of transcription dates back to the 1960s. The method was designed to assist in the manufacturing process. The first transcription that was developed in this process was MRP, which is the acronym for Manufacturing Resource Planning, in 1975. This was followed by another advanced version namely MRP2. But none of them yielded the benefit of medical transcription.However, transcription equipment has changed from manual typewriters to electric typewriters to word processors to computers and from plastic disks and magnetic belts to cassettes and endless loops and digital recordings. Today, speech recognition (SR), also known as continuous speech recognition (CSR), is increasingly being used, with medical transcriptionists and or "editors" providing supplemental editorial services, although there are occasional instances where SR fully replaces the MT. Natural-language processing takes "automatic" transcription a step further, providing an interpretive function that speech recognition alone does not provide (although MTs do).

Medical transcription encompasses the MT, performing document typing and formatting functions according to an established criteria or format, transcribing the spoken word of the patient's care information into a written, easily readable form. MT requires correct spelling of all terms and words, (occasionally) correcting medical terminology or dictation errors. MTs also edit the transcribed documents, print or return the completed documents in a timely fashion. All transcription reports must comply with medico-legal concerns, policies and procedures, and laws under patient confidentiality.

Currently, a growing number of medical transcription companies send their dictation by digital voice files, utilizing a method of transcription called speech or voice recognition. Speech recognition is still a nascent technology that loses much in translation. For dictators to utilize the software, they must first train the program to recognize their spoken words. Dictation is read into the database and the program continuously "learns" the spoken words and phrases. It is very important to have a properly formatted, edited, and reviewed medical transcription document.

A "flag" on a report requires the dictator (or his designee) to fill in a blank on a finished report, which has been returned to him, before it is considered complete. Transcriptionists are never, ever permitted to guess, or 'just put in anything' in a report transcription. Furthermore, medicine is constantly changing. New equipment, new medical devices, and new medications come on the market on a daily basis, and the Medical Transcriptionist needs to be creative and to tenaciously research (quickly) to find these new words. An MT needs to have access to, or keep on memory, an up-to-date library to quickly facilitate the insertion of a correctly spelled device.
